Is your file accessible when you're out of the office?

A manager heads out on a trip, and suddenly an entire approval chain grinds to a halt. The document sits there, safely stored on a server... that no one can reach anymore.

Tuesday evening, Douala airport. Marie, the branch manager, is leaving for a week of training abroad. Her flight has just been delayed by two hours. She settles into the waiting lounge with a coffee.

Her phone buzzes. It's Serge, Aïcha's advisor.

« Marie, Head Office has sent the new policy memo on the simplified renewal process for SME overdraft facilities. It needs to be approved by every branch manager before it takes effect. And the first file affected is Société Alpha, Aïcha's company. Its deadline falls next week. »

Marie sighs. The memo is in the branch's shared folder, on the office server. From the airport, she has no access to it. Serge offers to send it to her by email, but the attachment is too large, and the memo has to be approved through the official workflow anyway, not by a simple "OK" in a message.

Marie asks them to wait for her return.

A week later, the memo is finally approved. But for Aïcha, it's too late for the new process: her renewal follows the old, longer workflow. Once again, she wonders why everything takes so long.

When the office becomes a bottleneck

Bank managers are often on the move. And meanwhile, the documents waiting on their review or approval stay stuck at the office:

Files locked away on the branch server, unreachable the moment you step out the door.
Attachments sent by email, too large, in multiple versions, and with no official approval value.
Approvals postponed until the manager's return, sometimes a full week later.
Risky workarounds: documents copied onto a USB drive or sent through a personal messaging app.

The result: every time a decision-maker is away, the whole organization slows down — and so do its clients.

Working from anywhere, without sacrificing security

Allowing access to documents outside the office doesn't mean letting them circulate however. Quite the opposite: remote access must be just as secure as being at the office — an encrypted connection, access rights respected, and every action logged.

The same evening, with M-Files

Let's revisit Marie's story, this time at a bank that uses M-Files.

STEP 1 A search that takes seconds. In the waiting lounge, Marie opens M-Files on her tablet over a secure connection. She types "policy memo" and instantly finds memo NS-2026-0156, issued by Head Office and received on 10/06/2026.
STEP 2 A full review. She immediately sees exactly where the document stands: drafted, reviewed, and now awaiting her approval. She reads the memo in full, along with the comments from the other branch managers.
STEP 3 A remote approval. Convinced, she taps "Approve." The approval is recorded in the official workflow, with her name, the date, and the time. The memo moves to the next step: signed, then archived.
STEP 4 Protected access. All of this happens under the exact same rights as at the office. Marie only sees what she is authorized to see, and every one of her actions is logged.

Before she's even boarded, Serge gets the notification: the memo is approved. The next morning, he applies the new process to the Société Alpha file. Aïcha gets her renewal within days, without ever knowing that her branch manager made it possible from an airport lounge.

What this changes in practice

Access from anywhere. Your files are available at the office, at home, or on the road. Your location is no longer an obstacle.

Fast retrieval. You find a document in seconds, from any device, complete with its status and history.

Remote approval. You approve or reject a document with a single tap, wherever you are. Your approval carries the same weight as it would at the office.

A secure connection. Access is protected: only authorized people get in, under the same rights as at the office, and every action is logged.

Why M-Files makes the difference

With M-Files, documents are no longer tied to an office or a branch server. They're accessible from a computer, a tablet, or a phone, on Android or iPhone alike, while staying inside a secure environment governed by the bank's own rules.

And because the approval workflows are built in, approving a document while traveling isn't a shortcut: it's exactly the same step as at the office, with the same traceability.

Managers keep control of their files, wherever they are. And teams no longer have to wait for their return to move forward.

And in your organization?

« How many documents waited for a manager's return to be read or approved? And how many clients waited along with them? »

If the answer makes you smile, or wince, it's time to make your files accessible outside the office, securely.
