IS THE WHOLE TEAM WORKING FROM THE RIGHT VERSION?

Teamwork & Document Management

Is the whole team working from the right version?

An important file, several people, several copies: on the day the numbers have to be presented, they still need to be the same numbers.

Aïcha is thinking big. Her company wants to build a small solar power plant to supply an entire neighborhood on the outskirts of Douala. It's her biggest project yet, and she's asking her bank to finance it.

For a file this size, the bank puts together a project team. Serge, her advisor, coordinates it. An analyst studies the financing plan. A lawyer prepares the contracts and guarantees. Together, they have three weeks to present the file to the credit committee.

Everyone works on their own. Aïcha's business plan circulates by email, then gets copied onto three different computers. When Aïcha sends a corrected version, with a higher construction cost, Serge receives it, but the analyst keeps working on the old one. The lawyer, meanwhile, drafts the guarantees based on an amount that's already out of date.

On the day of the committee meeting, the numbers don't match: the financial analysis states one amount, the draft contract another, and Serge's presentation a third.

The committee postpones its decision by a month, "to get the file consistent." For Aïcha, that's a month's delay on her construction site, and partners growing impatient.

The trap of working in parallel

The problem isn't teamwork itself. It's how documents move between team members:

Everyone keeps their own copy, on their computer or in their inbox.
Updates aren't seen by everyone: a corrected document stays with whoever received it.
Duplicates pile up, and no one is sure anymore which one is correct.
Decisions rest on inconsistent figures, because everyone worked from a different version.

The result: time lost comparing files, errors that make it all the way to the committee, and clients left waiting.

One file, one version, the whole team

To work well together, a team needs a single source of truth: one file per client or project, where each document exists just once, in its latest version, visible to everyone who needs it. When a document changes, everyone sees it immediately. And when someone wants to know what changed, the history is right there.

The same project, with M-Files

v3.0 → v3.1 → v3.2 ✓ up to date for everyone

Let's revisit Aïcha's project, this time at a bank that uses M-Files.

1 A single file. Serge creates the file for the mini power plant project. Everything is brought together: the business plan, technical studies, financial analysis, draft contracts, and guarantees. Each team member accesses it according to their role.
2 Real-time sharing. When Aïcha sends her corrected business plan, Serge adds it to the file. It automatically becomes version 3.2, and the whole team is notified. The analyst updates her figures that same day, and the lawyer adjusts the guarantee amount.
3 One up-to-date version for everyone. No one works from a copy anymore. Everyone opens the same document, always in its latest version, with no duplicates.
4 A complete history. If the committee asks why the amount changed, Serge can show the history: who changed what, and when. Everything is kept and dated.

On the day of the committee meeting, the analysis, the contracts, and the presentation all show the same figures. The financing is approved. A few months later, the first homes in the neighborhood light up thanks to Aïcha's power plant.

What this changes in practice

✓

A single file. One file per client or project, with every document in it, accessible to the whole team according to each person's role.

✓

Real-time sharing. Every change is instantly visible to the whole team. No one discovers an update too late anymore.

✓

An up-to-date version. Everyone works from the latest version, with no duplicates and no stray copies lying around.

✓

A complete history. Who changed what, and when: everything is kept and dated, for the team and for the committee alike.

Why M-Files makes the difference

With M-Files, a document isn't a file that gets emailed around. It's a single object, stored in the right file, that everyone opens from the same place, including directly from Word or Outlook. Its versions stack up in its history instead of multiplying across inboxes.

The project file brings together every person and every document involved. Each team member sees what they're meant to see, and everyone knows that what they're looking at is current.

What holds true for a project financing holds true for all teamwork at a bank: corporate files, internal audits, tenders, transformation projects.

And in your organization?

« How many versions of the same document have circulated within the team? And are you certain everyone worked from the right one when it was time to decide? »

If you're hesitating, your teams deserve a truly shared file.

Galaxy Conseils is here to help
