DO YOU KNOW WHERE EACH LETTER YOU RECEIVED STANDS?

Mail tracking & traceability

Do you know where each letter you received stands?

On the ground floor of Aïcha's bank, there's an office clients never see: the mail department. That's where Nadège works. Every day, she receives, stamps, and distributes dozens of letters. Two trays sit on her desk: "Incoming" and "Outgoing".

On September 28th, an envelope arrives from Alpha Company, Aïcha's business. Inside, an urgent request: a bank guarantee for a public tender for solar installation. The application file is due in ten days, and the guarantee must be included.

Nadège logs the letter in the big mail register and sends it up to senior management. Management approves. The commitments department prepares the guarantee and the reply letter, then sends them back down... into Nadège's "Outgoing" tray, among a pile of other envelopes.

No one noted that the reply had to go out by a specific date. The envelope waits for the courier's next round, then another.

On the eleventh day, Aïcha calls, furious: she's received nothing, and the deadline has passed. The bank insists the reply "went out". But when? No one can prove it. The register only notes the letter's arrival, not the reply's departure.

Alpha Company loses the tender. And Aïcha, for the first time in years, seriously considers switching banks.

— Pain point —

A letter isn't handled until the reply has gone out

When people talk about tracking mail, they mostly think about arrival: was the letter received, logged, forwarded? But for the person who wrote it, what really matters is the reply. And that's often where the process breaks down:

No deadline — you know when the letter arrived, but not by when it needs to be handled.

Replies sitting idle in an "Outgoing" tray, with no one worrying about it.

Outgoing mail with no trace — impossible to prove when a reply went out, or even whether it did.

The request and its reply kept apart — one in the register, the other in a binder, with no link between the two.

For a bank, these gaps in the process are costly: missed deadlines, clients losing opportunities, and a bank that can't defend itself for lack of proof.

Tracking mail all the way through

Real tracking covers the whole journey: intake, logging, assignment to the right person with a deadline, processing, sending the reply, then archiving. Incoming and outgoing mail form a single file, and every step is timestamped.

Tracked & approved — guarantee approved, automatic reminders active

Day 4

Aïcha receives her guarantee six days early. She submits a complete file, and Alpha Company wins the tender.

And if a client ever claimed they never received a reply, the bank could show, in seconds, exactly when it went out, and who sent it.

What this changes in practice

Logging. Every piece of incoming or outgoing mail is logged the moment it arrives. No more register to flip through, no more envelope forgotten in a tray.

Assignment. Every letter is handed to the right person, with a deadline. Everyone knows who needs to act, and by when.

Tracking and approval. You see at any moment where each letter stands. Delays are spotted before the deadline is missed.

Traceability. Every step is kept and timestamped, from intake to archiving. The request and its reply stay linked forever.

Why M-Files is different

With M-Files, mail is no longer a series of hand-offs jotted in a register. It's a file that lives from intake to archiving, with an owner, a deadline, and a status visible at all times.

Incoming and outgoing mail are no longer two separate worlds: the reply is linked to the request that prompted it. And the mail department, often invisible, becomes the starting point of a fully controlled process.

For Nadège, it means fewer registers and fewer calls. For the bank, it means proof of every commitment made to its clients.

What about you?

Go down to your bank's mail department and look at the "Outgoing" tray.

"How many replies are waiting there? Which ones have a deadline? And could you prove the send date of the last important reply sent to a client?"

If these questions go unanswered, your mail process stops too early.
