An employee's file, complete in seconds
Since the start of this series, you've been following Aïcha. Today, let's look at the other side of the counter, at the person who's been with her from day one: Marie, her advisor.
Galaxy Conseils • Banking & financial institutions sector
Marie opened Aïcha's account, handled her car loan, championed her mortgage application, then helped launch her business account. After six years at the bank, she applies for the branch manager position. Her application is strong, and management is in favor.
To present her file to the appointment committee, HR needs to gather her documents: employment contract and amendments, annual performance reviews, training certificates, leave history.
The search begins. The contract is in one binder, two amendments in another. The review from two years ago can't be found. Her certificate for the mandatory anti-money-laundering training might be in a former manager's inbox. As for her leave balance, two spreadsheets give two different numbers.
The committee is postponed by a month, "to complete the file".
During that month, Marie receives an offer from a competing bank. She hesitates. And Aïcha, without knowing it, is about to lose the advisor who knows her best.
Pain point
Banks take great care of their clients' files. But their own employees' files are often far less well kept: scattered across binders, emails, spreadsheets, and sometimes a former manager's desk. Yet these files are essential, and sensitive. They contain personal data, salaries, performance reviews. And in a bank, they must also prove that every employee completed their mandatory training. When they're poorly maintained, problems pile up:
Incomplete files — there's always a missing document right when it's needed.
Delayed decisions — promotions, transfers, or renewals wait on the file being pieced back together.
Exposed information — salaries and reviews travel by email or sit in cabinets accessible to too many people.
Difficult audits — during an inspection or audit, proving HR compliance becomes an ordeal.
And behind every delay is an employee who feels undervalued — even though these are the very people who build the client relationship.
A well-kept HR file is a sign of respect for the employee: their rights are known, their journey is recognized, their information is protected. It's also a decision-making tool for management, and protection for the bank in the event of an audit or dispute.
With M-Files
A single file. The HR manager opens file EMP-2026-0187. Everything is there: contract and amendments, annual reviews, training certificates, approved leave requests. Every step of Marie's journey is visible:
Controlled access. The file is only accessible to HR and management. Marie's colleagues have no access to it.
Simple approvals. Marie's leave and performance reviews have been approved over the years by her managers, in a few clicks. Her leave balance is accurate, with no spreadsheet to reconcile.
Full traceability. Every view and every change to the file is logged and dated.
The file is presented to the committee the very next week. The appointment is approved. Marie becomes branch manager. The following week, Aïcha comes to congratulate her, and leaves reassured: the person who knows her story best is staying at her bank.
A single file — contracts, leave, performance reviews, and training are brought together in one file per employee, complete and up to date.
Controlled access — only authorized people see each piece of information. Personal and salary data stay confidential.
Fast approvals — leave and reviews are approved in a few clicks by the manager, and automatically filed.
Full traceability — every view and every change is logged and dated. For any audit or inspection, everything is ready.
With M-Files, an employee's file builds itself as their journey unfolds. The signed contract, the approved leave request, the annual review, the training certificate: each document automatically joins the right file, with the right access rights.
It's the same logic as for client files: documents classified by what they are, pre-defined approval workflows, controlled access, and a complete history. The bank manages its teams with the same rigor as its clients.
And when an employee moves on, changes branch or role, their file follows them, complete, with nothing lost along the way.
Pick an employee at your institution at random.
"How long would it take you to gather their complete file: contract, amendments, reviews, mandatory training, and leave?"
If the answer is counted in days, your teams deserve better. And your best people might not wait around.
We help banks and financial institutions structure and secure their employees' files with M-Files, starting from their actual HR processes.
