Mail & document tracking
Do you know where every incoming letter stands?
Letters stuck in the signature binder, approvals waiting on the director's return, replies that can't be found... Here's Aïcha's story — and what would have changed with M-Files.

Aïcha's small business is taking off. A school orders solar equipment for all of its classrooms. It's the biggest order her young business has ever had.
To buy the equipment, Aïcha needs a temporary overdraft facility. As her bank requires, she sends a formal letter to senior management, with the school's purchase order attached. She drops it off on September 28.
At the bank, the letter follows the usual path : logged in the mail register, passed through the secretariat, then placed in the General Manager's signature binder.
But the General Manager is traveling abroad for ten days. The binder waits on his desk, with Aïcha's letter sitting somewhere between a memo and an audit report.
Aïcha calls her advisor, who calls the secretariat.
"The letter is in the binder — we have to wait for the GM to come back."
Ten days later, the General Manager signs. But the school couldn't wait any longer : it had already given part of the order to a competitor.
In many organizations, important mail follows a well-known path : it's logged in a register, sent up to the secretariat, slipped into a signature binder, and left waiting until the decision-maker is there to read and annotate it.
This process has one merit : it's rigorous. But it has a major flaw : it depends entirely on everyone being physically present. And it creates blind spots :
For a client waiting on a decision, every day counts. And for the bank, every letter left in limbo is an opportunity that may end up going elsewhere.
A letter is only truly handled once it's gone through every step : logged, assigned, approved, then archived together with its reply. Tracking it isn't just knowing it arrived. It's knowing at any moment who is handling it, where it stands, and when it was approved.
Let's replay Aïcha's story, this time at a bank that uses M-Files.
✓ Received, on 9/28/2026. As soon as it arrives, Aïcha's letter is scanned and logged under reference CR-2026-0412, with its metadata : sender, date received, subject, attachments.
✓ Assigned. The letter is automatically forwarded to senior management, who handles this type of request. The credit department receives a copy to prepare its opinion.
✓ Under review. The General Manager, abroad, gets a notification on his phone. He opens the letter and reviews the credit department's opinion and the purchase order.
✓ Approved. He approves it in one click, from his phone, that same day.
✓ Archived. The letter, the opinion, and the decision are automatically filed under Archives > Incoming Mail > 2026 > Case CR-0412, with their complete history.
Two days after her request, Aïcha has her answer. She buys the equipment, and the school gets all its installations on time.
Logging. Every incoming letter is logged and scanned as soon as it arrives. No more flipping through a register : everything can be found within seconds.
Assignment. The letter is automatically forwarded to the right person, based on its subject. No more mail circulating from desk to desk with no clear recipient.
Approval. You approve or reject in one click, from a computer or a phone, on Android or iPhone. Travel no longer blocks a decision.
Archiving and traceability. Every letter is filed and can be found within seconds, with its complete history : who received it, who handled it, when it was approved.
M-Files doesn't remove the rigor of the mail process : it keeps it, just without the paper and the waiting. The signature binder becomes digital, and it follows the decision-maker wherever they are.
Every letter is linked to everything related to it. Aïcha's letter joins her client file, alongside her business account and her other exchanges with the bank. The decision and the reply stay attached to the original letter, permanently.
And what applies to client requests applies to all of a bank's mail : correspondence with regulators, invoices, official notices, letters from partners.
Take a look at your General Manager's signature binder, or any manager's.
"How many letters are waiting there right now? For how many days? And how many clients are waiting on an answer behind each one?"
