WHY DIGITIZE YOUR ACCOUNTING MANAGEMENT?

Online accounting, time savings, secure data: an overview of the software types suited to Cameroonian SMEs and criteria to choose well.

At Société Alpha, bookkeeping long fit into a large ledger and a few Excel files. The accountant entered invoices at month-end, bank statements arrived on paper, and every closing required entire evenings of reconciliation.

As long as the company was small, this worked. But with growth, invoices multiplied. An Excel file was overwritten by mistake, and three months of entries had to be redone. When the bank asked for an up-to-date financial statement for a loan, it took two weeks to produce it.

Then the 2026 Finance Act arrived, with a new requirement: in the event of a tax audit, companies whose bookkeeping is computerized must hand over the accounting entries file (FEC) right from the start, with no ability to alter it afterward. With her Excel files, Aïcha wonders how she could even produce such a file.

Aïcha's bookkeeping wasn't wrong. It had simply stayed at the scale of a company that, meanwhile, had grown.

Why digitize now?

Digitizing your accounting management isn't just swapping the ledger for a computer. It's a change in how you work.

A spreadsheet that can't keep up

Time lost — manual entry, slow bank reconciliations, financial statements produced at the cost of entire evenings.

Frequent errors — no automatic checks, repeated re-entry, fragile calculations.

Fragile data — a file overwritten by mistake, and months of entries to redo.

Poor readiness for the authorities — unable to quickly produce an accounting entries file in the event of an audit.

An overview of solutions for SMEs

There's no ideal software for everyone. There are, however, several families of solutions, each suited to a particular size and need.

Spreadsheets. Excel and its equivalents work for getting started, but they quickly hit their limits: no control, no traceability, risk of error and loss. This isn't accounting software.

Installed accounting software. Installed on one or more of the company's computers, these are proven and widespread in Cameroon; some publishers, such as Sage, offer versions adapted to the OHADA framework. They require good management of backups and updates.

Online accounting software. Accessible from a browser, these allow several people to work together, remotely, with backups managed by the publisher. They assume a reliable Internet connection.

Modular ERPs. Solutions like Odoo link accounting to sales, purchasing, inventory and payroll. They suit growing SMEs that want to manage everything from a single tool, with heavier configuration.

The steps to a successful digitalization

1. Assess. Take stock of your needs: invoice volume, number of users, need for remote work, links with invoicing, inventory or payroll, budget.

2. Choose. Compare solutions on concrete criteria: compliance with the revised SYSCOHADA standard, production of DSF statements, export of the accounting entries file, security, locally available support, total cost.

3. Configure. Set up the chart of accounts, journals, VAT rates, counterparties, and carefully carry over opening balances.

4. Train. Train users, define who enters, who checks and who validates, and set rules for filing supporting documents.

5. Steer. Use dashboards to track cash flow, receivables and margins, and prepare the closing throughout the year.

The same company, digitized

Let's replay Aïcha's story. With support, Société Alpha assesses its needs, chooses a solution suited to its size, configures it and trains its team. Invoices are entered as they come in, bank statements are imported and reconciled every week, and supporting documents are scanned and filed.

When her bank asks for a financial statement, Aïcha sends it the same day. At closing time, the financial statements are ready without sleepless nights. And if an audit happens, the accounting entries file is available within a few clicks.

What digitalization gives you

Online accounting. Your data is accessible at any time, by the right people, at the office or remotely.

Time saved. Less data entry, less re-entry, faster reconciliations and closings.

Secure data. Backups, access rights and traceability: your figures are protected.

Software suited to your SME. A solution chosen based on your size, your activity and your budget, not on a trend.

What about your business?

Ask yourself:

"If a tax auditor asked you tomorrow for last year's accounting entries file, could you hand it over?"

If the answer is no, it's time to think about digitizing your accounting management.
